Rental Rules

ADDITIONAL CHARGES & RENTAL RULES
TRAVEL TRAILERS

•Damage deposit $700. Authorization on a credit card, cash or cashier’s check. Refunded when the rental is returned undamaged. We do not recommend using a debit card; we cannot process them as credit cards and it will take the money out of your account, then redeposit it, which can take several days. Renter will not incur any charges if the trailer is returned undamaged.
•Insurance: included / No additional fees. Liability covered by renters auto policy, proof of valid insurance must be presented. Collision coverage covered by rental companies commercial policy. This insurance carries a $500 deductible which the renter is responsible for in the event of an accident.
•Pet charges: Dealer permission required for pet travel. $10/day/pet additional rental fees apply. $300 fine for unapproved pet travel.
•Holiday and annual special events (race weekends, Bonnaroo, etc.) have minimum rental durations and increased pricing.

RV’s
•Damage deposit: $1200. Authorization on a credit card, cash or cashier’s check. Refunded when the rental is returned undamaged. We do not recommend using a debit card; we cannot process them as credit cards and it will take the money out of your account, then redeposit it, which can take several days.
•RV Insurance: No cost if your auto insurance policy covers rental vehicles, otherwise you have to purchase rental insurance: Cost $15-30/day. Even though you are buying insurance, you are responsible for any repair costs up to the deposit amount, which is why we charge a damage deposit. In the event damage occurs, your damage deposit will be processed and held until repairs can be made. Repair costs will be taken out of your deposit and the balance refunded if any. The rental insurance covers damages over $1000.
•Windshield Damage: Windshields are inspected before departure and upon return for any cracks or rock chip damage. Renter assumes responsibility for the condition of the windshield once they depart and the entire time it is in their use. Renter is responsible to pay for any damage to the windshield regardless of cause while the RV is in their use. Rock chips smaller than a dime can usually be sealed to prevent spreading. Will have to be inspected by a professional repair service. Rock chip repairs cost range from $45 – $75 +/- . Rock chips larger than a dime or ones that can’t be repaired may result in having to replace the entire windshield. *
•Mileage fee: 150 miles included per paid rental night. $.20/mile additional miles.
•Towing – Tow receptacles are locked to prevent unauthorized use. Towing permitted with permission only – $50 tow fee applies.
•Generator fee: 5 hours included per paid rental night, $3/hour additional.
•Fuel: The RV fuel tank will be full at pick up. Renters are required to top off tanks prior to return at one of the several gas stations near our lot. Filling up farther will not return the RV with a truly full tank. A $30 service charge will apply if we have to refill the tank any amount.

GENERAL RENTAL CHARGES & RULES
When confirming a reservation, renters agree to these terms (* at end of line indicates it does not apply to travel trailer rentals)
RENTAL FEES DUE IN FULL TO MAKE A RESERVATION

CANCELLATION POLICY: Any credits received from a cancellation must be used within 12 months from date of cancellation.

Ø If prior to 30 days from the rental date a 20% cancellation fee will apply. Service fees are never refundable. Renter can choose to not receive any refund but instead apply all deposits to a future rental

Ø We do not offer any monetary refunds if canceled within 30 days, but will apply funds towards a future rental less a 25% cancellation fee.

Ø If within 14 days of the rental, the full amount of the rental is forfeited.

DAMAGE DEPOSIT: $1200 RV / $700 trailers- THIS IS PROCESSED WITHIN 7 DAYS OF PICKUP. a major credit card is required. Card is not charged, just authorized for the deposit amount. No charges will be incurred providing all rental conditions are met and rental is returned undamaged. Any charges will include a 3% credit card processing fee.

DAMAGE INSPECTIONS: HTRV will conduct a walk around on the outside and inside of the rental with renter at pick up to point out any existing damage. To protect our customer and our rentals, HTRV will photograph the rental before departure and upon return. We recommend renters do the same for their records. Submission of your driver’s license before departure serves as your signature and acknowledges the damage inspection.

REPAIRS: If a rental is returned with damage, the security deposit authorization will be converted to a charge and the funds held until repairs are completed. $200 is applied to the time it takes for HTRV to coordinate your repair; that is a cost not covered by an insurance claim. Renters are responsible for the costs of the repairs up to the deductible amount for the rental. The RV deductible is $1000 and the trailer is $500. Repairs could take days, weeks or months, depending on the nature of the damage, time required to receive parts, and the rental schedule. There is no expiration date on damages.

INSURANCE: No cost if your insurance policy covers rental vehicles, otherwise you have to purchase rental insurance: $15-30/day + $10. * This insurance carries a deductible which the renter is responsible for in the event of damage.

RETURN TIMES: 10-4:30 M-F (closed Tuesdays) / 12-4:30 Sundays (Closed Saturdays). $20/hour late fee applies after 5 PM

REFUND POLICY: Rental fees are not refundable after pickup of the RV with the exception of mechanical failure.

GAS FEE: The RV gas tank will be full at pick up. Renters are required to top off tanks prior to returning at a gas station near our lot. A $30 service charge will apply if we have to refill the tank. *

Cold weather precautions: If you are renting an RV during the winter months and there is a chance of freezing temperatures, you will need to follow the cold weather precautions for the RV’s water systems. Instructions will be provided.

DANGEROUS driving conditions: Dealer reserves the right to delay a rental in the event of inclement weather and/or dangerous driving conditions to ensure renters safety and the safety of our rental vehicles. Charges for delayed returns due to weather conditions are the responsibility of the renter.

SMOKING: Strictly prohibited. Any sign of cigarette smoke, burn holes or any other smoking material will result in forfeiture of the entire security deposit. No items with a flame or smoke allowed inside the camper, including candles and incense. $500 fine for smoking OF ANY KIND.

CAMP FIRES: One of the best parts of camping, but please pay attention to smoke drifting in through open doors and windows. Excessive amounts can leave a very strong and unpleasant odor for future renters and may require additional cleaning fees to remedy it.

ROOF ACCESS: strictly prohibited. Any sign of persons being on the roof will result in forfeiture of the entire security deposit.

EQUIPMENT PROBLEMS OR NEEDED REPAIRS: If something is not working property, renter is responsible for contacting HTRV for assistance to give us the opportunity to troubleshoot and resolve any issues. If not given the opportunity to rectify an issue, HTRV will not offer compensation for equipment failure. Repairs must be approved by HTRV. Please save and submit any receipts for repairs.

TIRES: Tire conditions and pressures are checked prior to each rental departure. Renter is responsible for inspecting the tires themselves at departure and regularly during their rental. In the event of tire failure, we expect renters to honestly report if they know they caused the failure by running something over, picking up a nail or a screw, hitting a curb too hard, etc, and assume the full cost of replacement and repairs. Otherwise, in the event of tire failure where the renter is not aware of how it happened, there is no way to determine the cause, so the cost of repairs is shared equally between HTRV and renter.

MECHANICAL BREAKDOWN: dealer takes all precautions to keep rentals in the best possible mechanical condition. In the event of mechanical failure, the Dealer will make every attempt to make repairs. If repairs are prolonged or not possible, the dealer cannot supply a replacement RV, but will attempt to locate one from another dealer. If a dealer cannot locate a replacement RV, the dealer will assist in making arrangements to return renters home and refund unused rental fees and/or compensate for return costs based on circumstances. Mechanical failures are unforeseeable and dealers will make every attempt to resolve any issues; however dealers will not be liable for costs or losses such as unused campground fees, cancellation fees, or other associated costs for unused portions of a renter’s scheduled vacation. Renter accepts the risk of possible breakdowns and the resulting consequences.

ACCIDENTS: must notify the dealer immediately. A police accident report must be obtained. If the RV is not drivable, the dealer will attempt to provide a replacement RV, but cannot guarantee it. An accident is beyond the dealer’s control, dealer is not responsible for renters costs associated with altering their vacation plans due to an accident.

ALL DRIVERS MUST BE 25 YEARS OF AGE AND PROVIDE PROOF OF RESIDENCE: A valid driver’s license must be presented.

ORIENTATION: Complete operating instructions will be given at time of departure. It will take approximately one hour.

DEALER CANCELLATIONS: In the event a rental RV is damaged or deemed un-rentable prior to a scheduled reservation, the dealer will replace the rental RV with another unit if available. If a replacement is not available, the dealer will cancel the reservation and refund all deposits to renter.

•Any additional terms will be disclosed at the time of the rental. We reserve the right to refuse any applicant.
